1. Who this policy applies to
This privacy policy describes how Joshua Hubbard trading as Learnbuilt (ABN 43 801 367 033) (“Learnbuilt”, “we”, “our”, “us”) collects, uses, stores, and discloses personal information. It applies to every person who:
- Visits learnbuilt.com.au, learnbuilt.com, or any subdomain
- Contacts us via email at joshua@learnbuilt.com.au
- Submits an enquiry, requests a quote, or accepts a scope of work
- Receives course materials produced by Learnbuilt as a client representative
Learnbuilt is bound by the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). This policy explains how we meet those obligations.
2. What personal information we collect
We collect information that is reasonably necessary for our business activities. We do not collect more than we need.
From enquirers and prospective clients
- Name, work email address, work phone number
- Organisation name, RTO number (if applicable), role title
- Details of the qualifications or units being discussed
- Any information voluntarily provided in correspondence
From contracted clients
- Items above, plus business ABN, registered name, billing address
- Names and contact details of staff designated as the client’s review point of contact
- Payment information processed via Stripe (handled by Stripe, see Section 5)
From website visitors
- IP address, browser type, pages visited (basic web-server logs)
- We do not currently use third-party analytics or marketing tracking cookies
We do not knowingly collect personal information from anyone under 18 in connection with the business.
3. Why we collect it
We collect personal information to:
- Respond to enquiries and provide quotes
- Negotiate and execute scopes of work
- Produce, deliver, and revise course materials under signed engagements
- Issue invoices, accept payment, and maintain financial records as required by Australian tax law
- Communicate about ongoing engagements, including delivery updates and revision rounds
- Maintain a record of past engagements for case studies or testimonials, only with explicit written permission
We do not use personal information for marketing to unrelated services or share it for marketing purposes.
4. How we store it
Personal information is stored in:
- Email: Google Workspace mailbox, protected by multi-factor authentication
- Cloud storage: Google Drive folders, access-restricted per client, protected by multi-factor authentication
- Financial records: Stripe for payment processing (tokenised, we do not store full card numbers), and accounting records held by Joshua Hubbard
- Client portal: learnbuilt.com.au/portal.html, password-protected per client (progress visibility only, no sensitive documents stored here)
We take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, modification, or disclosure. If a notifiable data breach occurs we will comply with the Notifiable Data Breaches scheme under the Privacy Act 1988.
5. Who we share it with
We disclose personal information only as necessary to operate the business:
- Stripe: for payment processing. Stripe stores payment information outside Australia.
- Google (Workspace and Drive): for email and document storage. Google’s data centres include locations outside Australia.
- Australian Taxation Office and other regulators, when required by law
- Professional advisors (accountant, solicitor, insurance broker) on a confidential basis when necessary
We do not sell personal information. We do not share it with marketing companies or data brokers.
We do not currently transfer personal information overseas except through the cloud services listed above. Where personal information is held in overseas data centres by these providers, we rely on the privacy obligations those providers commit to under their own policies and terms.
6. Your rights
Under the Australian Privacy Principles you have the right to:
- Access the personal information we hold about you, email joshua@learnbuilt.com.au with the subject “Privacy, access request”
- Correct information that is inaccurate or out of date
- Withdraw consent for any use that was based on consent (note: we may not be able to continue services if necessary information is withdrawn)
- Make a complaint about our handling of your personal information
If you make a complaint and are not satisfied with our response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au or 1300 363 992.
7. Cookies and tracking
The Learnbuilt website does not currently set non-essential cookies. The client portal sets a single session-scoped cookie when you log in, which is removed when you close the browser tab. We do not run third-party advertising trackers, social-media pixels, or behavioural analytics. If this changes, this policy will be updated.
8. Changes to this policy
We may update this policy from time to time. The current version is always available at learnbuilt.com.au/privacy-policy.html. Material changes will be flagged in the “Last updated” date at the top.
