// the process

The ten stage, four phase
structure of every Learnbuilt project.

A plain-English roadmap of what we produce, what your team does, what’s included, and what’s never in scope.

Every project starts with an Onboarding Session

We’re a consultancy with a production system, so we start by understanding your problem, not by handing you a price list. A 45–60 minute Onboarding Session ($495 + GST, credited in full toward the work) maps what you have and what you need (new builds, modernisation, an LMS migration, a compliance fix, or a combination) and you get a written plan and fixed quote within 2 business days. Then the pipeline below delivers it.

Already have a unit? Send it in first. Built internally, by an agency, or with AI. Send it when you book and we’ll run it through the production system before your session, then walk you through exactly what it finds in your own materials, live on the call. Not a report in advance, not a hypothetical.

The 10-stage signature Learnbuilt pipeline.

Our rigorous process is applied to every unit, every time. Nothing is skipped because of scope or timeline pressure.

Learnbuilt produces so you can deliver.

Your team is only ever responsible for review and delivery. This is documented in the SOW and applies to every engagement.

What Learnbuilt never does.

Clear boundaries protect both parties. These items are not in scope for any project, regardless of what is quoted.

Compliance advice or ASQA guarantees
Learnbuilt reviews materials for training package alignment and quality. We do not provide compliance advice, act as an ASQA agent, or guarantee any audit outcome. Your RTO holds that relationship.
Training and Assessment Strategy (TAS)
A TAS is a required RTO document separate from course materials. We don’t offer TAS writing or review as a standalone service. If you need one as part of a full qualification build, ask and we’ll scope it in.
LMS administration or Canvas course management
We upload the HTML pages we produce. We do not configure your LMS, manage enrolments, set up grading workflows, or provide ongoing technical support for your Canvas or Moodle instance.
Assessor training or professional development
Materials are delivered with clear assessor guides. Training your team on how to use them, deliver the units, or mark assessments is your organisation’s responsibility.
Student records, USI administration, or learner management
We build course materials, not student management systems. Enrolment, USI verification, results, and learner records are managed entirely within your RTO’s own systems.
Marketing and enrolment collateral
Learnbuilt produces training and assessment materials. Brochures, enrolment pages, course listings, and marketing assets for your qualification offerings are outside our scope.
High-production video and animation
Stage 09 includes short branded voiceover slideshow videos (30–90 seconds, AI voiceover, branded to your RTO). What we don’t produce is high-production video – Articulate 360-style narrated modules, actor-filmed content, or custom animation.
Units not listed in the Scope of Work
Production is limited strictly to the units listed in your signed SOW. Additional units require a new quote. We don’t begin work on unscoped units regardless of timeline pressure.

Four phases. Clear handoffs.

Every engagement follows this structure, regardless of how many units are in scope.

PHASE 01
▶ Learnbuilt
Setup

SOW signed. Deposit paid. We gather your brand configuration and confirm your simulated organisation – if you already have one, we work with it and add to it as units are built. Stages 01–08 run as soon as brand config is received – typically within one business day.

PHASE 02
▶ Learnbuilt
Production

10-stage pipeline runs for every unit. We produce all text, assessments, simorg documents, and the QA report. We target one unit per day – you’ll usually receive output faster. Files land in your Google Drive as each unit completes; you don’t wait for the whole project to finish.

PHASE 03
▶ Your team
Review & Sign-off

Your named subject-matter expert reviews the materials, requests any minor corrections (included, and we work through them until you’re happy), and provides written sign-off. The balance invoice is issued on Stage 1–8 delivery. Sign-off directs us to schedule your LMS upload – within 60 days of delivery.

PHASE 04
▶ Both
LMS Deployment

On receipt of your written sign-off and LMS access credentials, we complete Stages 09–10: Canvas-ready HTML and LMS upload. Your team does a final delivery check, then releases materials to learners. The compliance relationship stays with your RTO throughout.

How pricing works.

Project work is scoped in your Onboarding Session, not estimated before you’ve spoken to anyone.

Project work is scoped in the Onboarding Session ($495 + GST, credited in full toward your project). After the session you receive a fixed quote based on your unit count, AQF level, and delivery requirements.

Typical per-unit rates start from $950 + GST for Cert III/IV. All deliverables included, no hidden costs.

Book your Onboarding Session →

In-house benchmark: $7,900–$10,400 per unit (all-in salary, super, leave, tooling, and overhead for an L&D team producing 12 units per year). A 12-unit Cert IV at $950/unit is a fraction of that.

Ready to start?

Every project begins with an Onboarding Session ($495 + GST, credited in full toward your build). We map your content, learners, and scope, then you get a fixed quote – and production begins. The Starter Project (your simorg built, brand applied, two complete units) is what we scope in that session, when it fits.
